Planning guide · Conferences

A conference plan your whole team can use.

Before comparing venues or production quotations, put the event objective, programme and responsibilities into one shared brief. This checklist helps HR, administration and marketing teams make those decisions in a useful order.

1. Decide what the conference must achieve

Write a one-sentence objective: a sales-team briefing, customer education, a leadership discussion or a partner meeting. Identify who needs to attend and what they should know or do afterwards. This determines the session format, speaker requirements and time needed for questions.

Separate essential elements from optional additions. A live demonstration, breakout discussion and awards segment each create different space, equipment and rehearsal needs.

2. Build the programme before choosing the room

List arrival, registration, sessions, breaks, meals and departure. Include speaker changes and time for questions. Plan the audience size and seating style together: theatre seating serves a different purpose from round tables or a workshop layout.

  • Check sightlines to the stage and presentation screen from the rear and sides.
  • Allow for registration queues, refreshments, accessible routes and speaker movement.
  • Ask the venue about setup access, loading, power, internet and rehearsal availability.
  • Confirm what the venue includes and what requires a separate supplier or charge.

3. Turn the agenda into a production brief

Document the presentation format, screen requirements, microphone types, lighting, stage furniture and branding. Identify any remote speakers, live demonstrations or recording requirements early. Give the production team the venue information and agenda together so the quotation reflects how the event will operate.

Specify who collects final presentations, tests playback and approves branding. Agree a fallback for missing slides, a delayed speaker or interrupted connectivity rather than leaving those decisions until the session begins.

4. Compare quotations on the same scope

A total price is difficult to compare when one quotation includes setup labour and another excludes it. Ask each supplier to identify quantities, working hours, transport, venue charges, taxes, overtime, revision allowances and exclusions. Confirm payment and cancellation terms before committing.

Keep an approval owner for the budget and another named contact for content if those responsibilities sit with different people. Record changes to the agreed scope before work proceeds.

5. Create one run sheet

Use a single schedule that names the owner of each activity: registration, speaker arrival, slides, audio, hospitality and stage cues. Include setup and rehearsal milestones as well as audience-facing timings. Distribute the final version to the relevant teams and clearly identify who can authorise changes on the day.

Useful checks before guests arrive

  • Walk the route from arrival to registration, seating and facilities.
  • Test presentations, microphones and any remote connection in the actual room.
  • Check names, titles and branding on the final artwork.
  • Brief the team on timing changes and escalation contacts.
  • Confirm the process for photography and recording with the organiser.

6. Close the event with a useful review

Compare delivery against the original brief. Record attendance if it was collected, audience feedback, unresolved supplier items and improvements for the next edition. Keep these separate from business outcomes that need longer to measure.

Your starting brief

Send: event objective; date or date range; city; expected attendees; venue status; draft agenda; speaker count; room layout; production needs; budget range; and decision deadline. If something is undecided, say so—we can scope the next planning step around it.
