Cancellation Policy

This Cancellation Policy explains how a confirmed engagement with Shri Mahaveer Enterprises (operating as Staunch Eventz) may be cancelled or postponed, and what the consequences are for each party.
1. What Counts as a Confirmed Engagement
An engagement is confirmed when you have accepted our written proposal and we have received the advance payment. From that point, we begin committing resources, blocking dates with vendors and venues, and incurring costs on your behalf.
2. How to Cancel
Cancellation must be made in writing by email to abhishek@stauncheventz.com, from an email address of the authorised signatory or nominated point of contact.
Your cancellation must include:
- The proposal reference number (SE/YYYY-YY/NNN)
- The event name and scheduled date
- The reason for cancellation
3. Cancellation Charges
Charges are calculated on the total contract value, based on how much written notice we receive before the scheduled event date:

| 30 to 44 days | 50% of contract value |
| 15 to 29 days | 75% of contract value |
| Less than 15 days | 100% of contract value |
In addition, all non-recoverable third-party costs already committed on your behalf remain payable in full. These include venue and hotel deposits, airline tickets, artist advances, permits, custom fabrication and printing. We will provide documentation of these costs.
Where the cancellation charge is less than the amount you have already paid, the balance is refunded under our Refund Policy. Where it exceeds the amount paid, the difference is invoiced and payable within 15 days.
4. Postponement
We would always rather move an event than lose it. Where you wish to postpone rather than cancel:
- Postponement requests must be made in writing, as above
- Where a new date within 6 months is confirmed at the time of the request, we will waive our management cancellation charge and carry your payments forward to the new date
- Third-party costs that cannot be transferred to the new date remain payable
- Vendor rates for the new date may differ; any variation will be quoted to you and settled before the new event
- Availability on the new date is subject to our capacity and vendor availability
- If the postponed event is subsequently cancelled, cancellation charges are calculated against the original event date
5. Partial Cancellation
Where you reduce scope rather than cancel entirely — for example dropping a function, reducing guest numbers, or removing a service component — the cancellation charges above apply to the value of the removed portion only, and the remaining engagement continues unaffected.
Significant reductions in scope may require the overall quotation to be revised, as unit costs and vendor minimums often depend on volume.
6. Cancellation by Us
We may cancel a confirmed engagement in the following circumstances:
- Payment is not received in accordance with the agreed schedule
- Information, approvals or materials required from you are not provided, preventing us from delivering
- The engagement would require us to act unlawfully, or would breach venue, regulatory or licensing requirements
- Circumstances beyond our reasonable control make delivery impossible
Where we cancel for reasons within our control, you receive a full refund of all amounts paid, without deduction, within 7 business days.
Where we cancel because of your non-payment or non-cooperation, the cancellation charges in section 3 apply as if you had cancelled on that date.
7. Force Majeure
Where an event cannot proceed because of circumstances beyond either party's reasonable control — including natural disaster, fire, flood, epidemic or pandemic, war, civil unrest, terrorism, strike, government order or restriction on public gatherings, or failure of essential public infrastructure — this is not treated as a cancellation by either party.
In such cases:
- Our first course is to reschedule at no additional management fee
- Where rescheduling is not possible, amounts paid are refunded less third-party costs already committed and not recoverable
- We will make reasonable efforts to recover committed costs from vendors and will pass on any recovery to you in full
8. No-Show
Where an event is not held and no cancellation notice was given, it is treated as a cancellation with less than 15 days' notice, and 100% of the contract value is payable.
9. Disputes
Disagreements about cancellation charges should be raised in writing with our Grievance Officer at abhishek@stauncheventz.com. We will review and respond within 15 business days. Disputes not resolved between the parties are subject to the exclusive jurisdiction of the courts at New Delhi.
10. Relationship to Other Terms
This policy should be read with our Terms and Conditions and Refund Policy. Where a signed agreement or written proposal specifies different cancellation terms for a particular engagement, those terms will prevail for that engagement.
